Understanding Your Student Data Rights

At Summit College Preparatory School, we actively safeguard student data rights as both a legal duty and a daily practice. Consequently, we align procedures with FERPA and internationally recognized privacy principles so families receive clear choices, timely responses, and transparent explanations. Key Student Data Rights at Summit

Access to Education Records

Students and eligible parents may review official records grades, attendance, discipline, schedules, and more. After you submit a written request to the Registrar, we promptly acknowledge and, within 30-45 days, provide secure access or a status update with a precise timeline.

Request Corrections (Amendments)

If a record appears inaccurate or misleading, you may request an amendment. We evaluate quickly, reply in writing, and if we decline offer a hearing and the option to add a statement to the file.

We require written consent before sharing personally identifiable information with third parties, except where law permits (for example, a health/safety emergency or transfer to another school). In every case, we act narrowly and document the basis.

Portability & Transfer of Student Data

Upon request, we prepare a structured, machine-readable copy of your records for transfer to another institution. Therefore, you move schools efficiently while retaining control over your information.

Transparency & Annual Notices

We publish clear notices about what we collect, why we collect it, and how long we keep it. Likewise, we describe security measures and name the teams who handle requests.

Grievances & Escalation

How to Use Your Student Data Rights

Step 1: Write to the Registrar: include your name, role (student or parent), the records or action you request, and your preferred delivery method. Immediately afterwards, we acknowledge within five business days and outline next steps.

Step 2: Secure Verification: we verify identity and, when needed, request limited additional details so your request keeps moving without delays.

Step 3: Access, Correction, or Decision: within 30-45 days, we provide access, deliver copies, or issue a written decision. If you appeal, we schedule a review promptly and send a final written outcome.

Annual FERPA Notice & Transfer of Rights

Summit provides an annual FERPA notice each academic year via email and the Student & Parent Handbook. The notice explains the right to inspect and review education records, request amendments, provide or withhold consent for disclosures (with lawful exceptions), and file a complaint with federal authorities. When a student turns 18 or attends postsecondary education, FERPA rights transfer to the eligible student.

Access Timeline & Distance Options

Upon a written request to the Registrar, Summit provides access to education records within a reasonable period, and in all cases no later than 45 days. If distance prevents in-person review, we provide copies or arrange secure remote access.

Copies & Reasonable Fees

We may charge a reasonable copy fee; however, we waive or adjust any fee that would effectively prevent you from exercising your right to inspect and review records.

School Official & Legitimate Educational Interest

A school official includes an employee (administrative, supervisory, academic, research, or support staff), a contractor, consultant, volunteer, or service provider performing an institutional service under Summit’s direct control and bound to use information only for that purpose. A school official has a legitimate educational interest when the official needs to review education records to fulfill professional responsibilities for Summit.

Directory Information & Opt-Out

Summit designates the following as directory information: student name, Summit email address, grade level, dates of attendance, honors/awards, participation in officially recognized activities, and likeness in school-sponsored media. We may disclose directory information without prior consent unless you opt out in writing within 14 days of the annual FERPA notice (or enrollment). To opt out, contact the Registrar & Records; we will confirm the effective date in writing.

Disclosures Without Consent (Summary)

We may disclose personally identifiable information without prior consent when permitted by law, including to: (i) school officials with a legitimate educational interest; (ii) another school where the student seeks or intends to enroll; (iii) authorized representatives for audit or evaluation; (iv) organizations conducting studies for or on behalf of the school; (v) accrediting organizations; (vi) in connection with financial aid; (vii) to comply with a judicial order or lawfully issued subpoena (with prior notice when required); and (viii) in a health or safety emergency. We maintain required records of such disclosures.

How to File a FERPA Complaint

If we cannot resolve a concern quickly, you may file a complaint with the U.S. Department of Education’s Student Privacy Policy Office (SPPO): studentprivacy.ed.gov/file-a-complaint. We cooperate fully with SPPO and preserve all relevant records.
